Welcome to the Timeline Section!
For your own team, make a timeline—include goals and dates on when you believe that you should reach something by. This helps the team understand the bigger picture and actually see their efforts accumulating into something bigger.
5-6 Months Before
- Solidify a team by going through applications + interviews
- Set goals for reach team
- Create a budget and sponsorship packet
- Start looking for:
- Venues (if you're hosting a large event, start at least 8 months before)
- Sponsors
- Start posting regularly on social media
2-3 Months Before
- Start the Campus Ambassador Program
- Create a website
- Figure out food options => reach out to local food places and see if they want to partner up
- Confirm some sponsors
1 Month Before
- Visit your venue + get to know it
- Order shirts
- Order prizes
- Should be reaching goal of sponsorship amount
- Getting opening ceremony speakers, mentors, workshops, judges, etc.
- Start accepting people in rounds + send all guides
1-2 Weeks Before
- Finalize opening ceremony speakers, workshops, mentors, judges, and anyone who will be at the event
- Send out a RSVP to all attendees to gauge how many people will be at your event (50% drop out rate from the attendee registrations)
- Set up venue
1-2 Weeks Before
- Go on a Costco/Target run to get supplies, snacks, drinks, etc.
- Brief your organizers
During
Make sure to post a lot on social media => live stream workshops, opening ceremony, attendees, sponsors talking, fun activities, etc.
Have fun!
1-2 Weeks After
- Send out a summary and "Thank Yous" to all sponsors, judges, etc. regarding attendance, hacks, and overall impact
- Go on calls with every team member and get feedback on the overall event
- Update the website with results of the event
- Post about hacks/results
